The overall goal of this position is to manage all aspects of the switchboard and front office. This individual will: 

Manage all aspects of the switchboard.

Manage, track, and order inventory (office supplies and vending supplies). Maintain conference rooms, front desk, and mailroom. Perform general administrative duties (daily and weekly). Coordinate offsite pick up and deliveries. Assist internal staff members with coordination of conference rooms and conference lines. Pick up, sort, and distribute daily incoming mail.  Meter afternoon mail. Send all Domestic and International shipments via DHL, Fed Ex, and USPS. Send company email communications as needed. Maintain phone and front desk documents, policies, and procedures.

 

BACKGROUND AND EXPERIENCE:

Requirements:

  • One to two years experience in a switchboard/receptionist setting.
  • Must have excellent telephone presentation skills and communication skills.

    Base Salary

    ·         Commission is paid on the last pay period of the following month. Monthly commission plan will be reevaluated January 1 of each year.

     

    Bonus

    Expenses

    ·         Company will provide monthly expense reimbursement for all legitimate and approved business expenses.

    ·         Approved expenses include vehicle (business miles @ $0.40/mile up to $1080 monthly), lodging, parking, meals with business, meals on overnight travel, and airfare.

    ·         Expenses for a given month must be submitted to management no earlier than the 25th of the current month and no later than the 5th of the following month and will be paid approximately 10 days after being submitted.

    ·         The employee is expected to supply the financial means to cover normal expenses between reimbursements.

    ·         Expenses over $500 and special reimbursements must be approved by management before the expense is incurred.

    ·         Company will provide a laptop computer, standard cell phone, business cards, demonstration equipment, and marketing materials.

     

    Required Employee Supplied Items

    ·         The employee will provide a clean and reliable vehicle appropriate for travel, job site visits, and cold calling.

     

    401K Plan

    ·         Company offers a 401K plan, which you will be eligible to contribute to after your initial 90?day introductory period.

    ·         New employees are eligible to roll existing 401k investments into the Company plan immediately upon joining the company.

    ·         We also offer optional company profit sharing based on annual profits.

    ·         100% vesting on employer matching funds is reached after the employee’s 6th anniversary.

     

    Medical

    A.  Basic function

    Administer LAN and Exchange support for company.  Set-up, configure, and support internal network.  Provide technical support and guidance to end users.

     

    B.  Responsibilities and specific duties (list in order of importance): 

     

    ·         Specific responsibilities include but not limited to:

    ·         Develop and maintain all systems, applications, security, and network configurations.

    ·         Troubleshoot network performance issues and create and maintain a disaster recovery plan.

    ·         Perform system backup and restores. Ensure successful backups are maintained and tape rotation procedures are in place and tested appropriately. 

    ·         Handle all user account setup/maintenance for both Exchange and LAN (including changes to groups, rights, and permissions).

    ·         Assume primary responsibility for server upgrades, hardware repairs, patches and user assistance for company.

    ·         Recommend new applications and equipment which benefit the operation of the company.

    ·         Routinely reviews helpdesk throughout the day and ensures a response time of one hour or less for issues causing a work stoppage (example work stoppage:  Locked Account, Scanner malfunctions, unusable computers ).

    ·         Create and maintain network, systems, software and vender documentation.

    ·         Maintain up-to-date graphical depiction of LAN .

    ·         Document arrangements for warranty services

    ·         Assume responsibility for the legality of all software licensing in the areas he/she supports.

    ·         Detect, diagnose, report and repair problems on network, servers and desktop systems.

    ·         Maintain PIX firewall and Bluecoat Proxy.

    ·         Prepare draft hardware and software budgets for the projected needs of his/her customers.

    ·         Prepare timely, accurate, and complete weekly status reports.

    ·         Participate in staff meetings.

    ·         Complete special projects and duties as assigned.

    C.                 Knowledge and skill requirements:

    ·         Five (5) to seven (7) years experience in network/system administration

    Familiarity with standard IT concepts, practices, and procedures (i.e. client/server principles file and print sharing, system upgrading, tuning, patching and optimization).  Must have extensive working knowledge of  latest Windows OS (Server and Workstation) and capacity of analyzing problems associated with server hardware, Windows, and network connectivity.

     

    Working knowledge of enterprise virus and spam protection suite, Symantec Endpoint Protection, Backup Exec, and proxy services is required.

    -          Assists in monthly close, including account analyses.

    -          Contributes as a member of the Accounting team.

    -          Assists in the annual audit and IRS 990.

    Position Qualifications

     

     

    High school diploma or equivalent, plus 1 to 3 years experience with Accounts Receivable and Cash Management.                       

     

     

    Prefer an accounting degree with experience in bank reconciliation, computerized A/R and collections, with strong knowledge of cash/treasury management.

    Requirements

    ·         BS in Business/Finance/Accounting. MBA / CPA / CMA a plus;

    ·         4+ years experience with accounting functions and general familiarity with auditing principles;

    Senior Payroll Accountant

    Responsibilities:

    ·         Planning, processing, distributing, reconciling, reporting, filing and archiving bi-weekly payroll for exempt, non-exempt and commissioned sales employees, for a multi-Company and multi-State, Corporation with approximately 150 employees

    ·         ADP system administration, processing all bi-weekly payroll functions, auditing all ADP entries, processing of salary increases, adjustments, commissions, as well as retroactive and pro-rated pay

    ·         Ensure compliance with all State and Federal regulatory requirements and relevant best practices, and ensure on-time delivery of pay to all employees

    ·         Coordinates and works closely with Human Resources to ensure proper pay and implement payroll procedures, standard regulations, laws, and programs as applicable and required.

    ·         Processes 401(K) payroll match calculations, reconciles and process 401(K) deductions to service provider

    ·         Assure reporting and filing of Federal, State, Local and other filing and reporting on a monthly, quarterly and annual basis for payroll taxes and tax returns

    ·         Design, create and provide reports from the payroll system for use by HR, finance and administration

    ·         Process and reconcile PTO calculations and balances

    ·         Prepares extensive payroll and commission reports for Management review.

    ·          Ensures that the payroll department maintains accurate accrual data for vacation and any other time-off policies

    ·         Performs garnishment and child support activities, and prepares necessary documents to courts and government agencies

    ·         Assist with various agency audits throughout the year

    ·         Perform additional duties as assigned, including assistance with other departments.

    ·         Process and review employee expense report batches and provide user administration for ADP Expense eXpert tool

    ·         User administration, and PTO management in EZ Labor Manager tool

    ·         Provide orientation and training for new hires on all payroll, time and expense tools

    ·         Prepares and delivers general communications to employee base

    ·         Other duties as assigned

    Requirements:

    ·         Bachelor’s degree or equivalent, accounting degree preferred

    ·         Minimum 6 years of progressive payroll management experience within a fast-growing corporate structure

    ·         Experience using ADP software including Pay eXpert and EZ Labor Manager

    ·         Extensive knowledge of State and Federal wage and hour laws

    ·         Must have worked with a payroll size minimum 100 employees, including multi-state payrolls

    ·         Excellent communication skills, both written and oral, including ability to draft concise, grammatically correct communication for a broad audience

    ·         Proficiency with Excel spreadsheets and computer applications in general

    ·         Basic understanding of related Human Resources practices is preferred

    ·         Ability to work under pressure and to preserve confidentiality

    ·         Courteous and responsive to employees being served

    ·         Sense of urgency in supporting employee and organizational needs
